The challenge was clear: create a system that could bring structure, consistency, and visibility to how change requests are raised, assessed, actioned, and reported.

Change requests were being managed across fragmented tools and processes, making it difficult to maintain consistency, track progress, and provide clear visibility across teams.

Eversholt Rail needed a purpose-built solution that could evolve with the business, integrate with existing systems, and support both internal engineering teams and external partners, while meeting strict compliance and audit requirements.

The Solution

We worked closely with Eversholt Rail to design and deliver OnTrack, a modern Change Request Management Portal built on OutSystems.

The platform provides a flexible engine for creating, assessing, and tracking change requests across the organisation. Requests can be tailored by type, scope, and priority, with built-in actions and tracking tools allowing engineers and managers to assign responsibility, monitor progress, and maintain accountability across departments.

A comprehensive metadata layer underpins the platform, managing fleets, units, competencies, roles, and engineers. This is fully integrated with Eversholt Rail’s single sign-on (SSO), ensuring secure access and granular permission control.

To support better operational decision-making, OnTrack includes powerful reporting dashboards that surface insights across fleets, assets, and engineering activity. These include embodiment dashboards that highlight the implementation status of modifications, alongside reports that identify trends, risks, and emerging areas of focus.

Users can upload schematics, supporting documents, and evidence directly into each change request, creating a complete audit trail. The platform’s modern interface makes complex engineering data easy to navigate, delivering a level of usability rarely seen in enterprise engineering tools.

Designed for speed, accuracy, and compliance, OnTrack ensures every change request follows a clear and traceable path from submission through to approval. Each request carries a full chain of approvals and rejections, providing visibility into decisions, rationale, and sign-offs, and creating a defensible record for audits and regulatory review.
