Eversholt Rail, one of the UK’s leading rolling stock owners, manages hundreds of train fleets and assets across the network.

Their engineering teams handle a large volume of change requests — everything from design updates to safety improvements and technical modifications - and needed a smarter, more transparent way to manage this process end-to-end.

The challenge was clear: build a system that could bring structure, consistency and visibility to how change requests are raised, assessed, actioned and reported. Existing tools were fragmented, and the team wanted something purpose-built that could evolve with the business and connect seamlessly with their existing systems.

We worked with Eversholt Rail to design and deliver OnTrack, a modern Change Request Management Portal built on OutSystems. The platform provides a flexible engine for creating, assessing and tracking change requests, used by both internal teams and external engineering partners.

Each request can be tailored to its type, scope and priority. Built-in actions and tracking tools allow engineers and managers to monitor progress, assign responsibility and ensure accountability across departments. A comprehensive metadata layer manages everything from fleets and units to competencies, roles and engineers — all tied into Eversholt’s SSO for secure access and permission control.

To support better operational decisions, OnTrack includes powerful reporting dashboards that surface key insights across fleets, assets and engineering activity. These include embodiment dashboards, highlighting the implementation status of modifications, and reports that pinpoint trends, areas of risk or emerging focus.

Users can also upload schematics, supporting documents and evidence directly into each request, creating a full audit trail of every change. The platform’s modern interface makes it easy to navigate even complex data, bringing a level of polish and usability rarely seen in enterprise engineering tools.

Designed for speed, accuracy and compliance, OnTrack ensures every change request follows a clear and traceable path from submission to approval. Each request carries a complete chain of approval and rejection, ensuring full visibility of decisions, rationale and sign-offs across the process. This transparency strengthens compliance and provides a defensible record for audits and regulatory review.
